Executive Board Meeting Minutes

2, 2015
In attendance: Jackie Beauchamp, Rhea Coleman, Nancy Doty, Carol Finn, Kay Gupton, Karen Guthrie, Pat Harris, Effie Kemp, Courtney Newman, Jan Nutter, Linda Short, Judy Tucker, Debra Fannin
The meeting was called to order by Jan Nutter, President. She lead the group in reading the UMW Purpose Statement, and the meeting was then opened with prayer.
Sunshine Report
Judy Tucker provided the Sunshine Report. Twelve Get Well cards and five Sympathy were sent out during April and May. Fourteen Congratulation cards were also sent. Of these, nine were sent to confirmands and five were sent to new members.
Devotional
Devotional was provided by Linda Short. From the UMW Prayer Calendar she provided information concerning “Grandma Alice” from Clinton, Indiana who uses Native American shawls to share God’s love. She also reported on The “Thanksgiving Table” in Michigan which illustrates that all are welcome at God’s table despite individual differences. All are called upon to celebrate all that God has given us. A devotional reading and a poem were read from the book Garden Blessings. This devotional described how we relate to the natural world and our Creator.
Secretary’s Report
Debra Fannin provided the Secretary’s report. No correspondence was received during April or May.
One correction was needed for the previous meeting’s minutes concerning Carol Wimberley’s name. A motion was made (Effie Kemp) and seconded (Jackie Beauchamp) to approve the minutes from the April Board Meeting. Motion was approved.
Treasurer’s Report
Monica Bogle could not be present at the June meeting but provided a copy of the Treasurer’s report for April 2015/May 2015. The balance forward was $5017.97. Income received from Circle pledges and account interest was $425.03. Total expenses for the period were $500.00. $1555.00 was received for Candle Burning in 2015 which was slightly less that the 2014 amount. It was suggested that that the announcement next year be made in March rather than April to potentially increase participation. The Board usually adds $100 to honor United Methodist Women. Nancy Doty suggested using this money in the future for missions. A motion was made (Linda Short) and seconded (Pat Harris) to take this $100 and use for missions. The motion was approved. A motion was made to accept the Treasurer’s report (Effie Kemp) and seconded (Linda Short). Treasurer’s report was approved.
Program Secretary Report
Jackie Beauchamp stated that information for the Reading Program is now due in August and asked that information be provided to her in the middle of July. It may be possible to change this reporting cycle when we are in the Paducah District. Jackie is serving on the 2016 Nominating Committee for the Paducah District and if anyone is interested in serving they should contact her. As of January 1, 2016 the Jackson Purchase counties will be in the Paducah District. The location for the District meetings has not yet been determined. We will no longer be in the Tennessee Conference, but there is some confusion as to what Conference we will be in. More information will be provided at a later date.
Unfinished Business
Prayer & Self Denial Program
Effie Kemp and Pat Harris provided information concerning the Prayer & Self Denial program which was held in April. It was agreed that the program went well, but it would have been nice if more people could have attended. Since the program is held during the day, it may be difficult for women who work to attend. Attendance may also be hindered since some past programs might have been perceived as “boring.” In the future it should be stressed that these programs are a social time for fellowship with other women, and the group was asked to include prayers for more involvement in the future.
UMW Reading Program and Book Club Updates
Carol Finn reported. Four attended the UMW Book Club in May which was down from five who typically attend. The group discussed the book Sum It Up which deals with basketball. The selection for June will be Faith and Struggle on Smokey Mountain which is set in Manilla and deals with a group of people who live on top of a landfill. This book counts for two categories for the UMW Reading Program. The group will not meet in July.
Youth Sunday - Outstanding Methodist Youth
Courtney Newman thanked everyone for their help and asked if there is anything that should be changed for next year. This year two youth were chosen for the recognition, Alyssa Batteiger and Preston Ross since the committee felt that they were equally qualified.
Candle Burning Service
Jan Nutter reported. UMW Candle Burning Service was held on May 24th. The prayer for the service was written by Nancy Doty. Additional details for this service are listed under the Treasurer’s Report section of these minutes.
Women’s Celebration
Courtney Newman reported. The Women’s Celebration will be held on June 3rd at 6:00 pm. Tables for the program were set up by the Boy Scouts as a Service Project. Tables will be decorated with globes and flags for the program’s global theme. Becky Lyles will provide a presentation on the Trades of Hope organization. After the potluck meal and presentation, passports will be provided and will be stamped as tour guides lead participates to five different regions. Each stop will include information and an activity associated with that country and will last approximately ten minutes. Children who complete their journey and receive their five stamps will receive a treat. It was suggested that we try to pick a topic in February next year to allow more time to plan this event.
December Tea The December Tea will be held on the second Sunday in December, December 13th, and will continue with the Nativity theme from last year. This date does not conflict with the Murray Women's Club. Loretta Kroehler will be contacted and asked to decorate for the event. The group was asked to think about favors for the tea. Last year’s favors were tea cozies that were made by Dee Keezer.
Shawl Ministry
Debra Fannin provided an update concerning the shawl ministry. She met with the Hope Circle in April to discuss the ministry. At the meeting they discussed hosting an event in the fall to publicize the ministry and increase participation by offering classes for knitting or crocheting a shawl.
Babysitting Fund
Jan Nutter reported that two babysitters who have been Safe Sanctuary trained would be required and the hourly rate would be $8.50 and $7.25. The money for this would need to come from the UMW and a motion was made (Pat Harris) and seconded (Effie Kemp) to add a fund for babysitting to the budget. The Board discussed how payment would be calculated and how much would be paid if no one needing the service showed up. Jan was asked to verify with Kristen that the individuals would need the Safe Sanctuary training. The group agreed to table this motion until additional information is available.
New Business
Paris District Directory
The Paris District Directory contained a dedication to Nancy Doty for her contributions to United Methodist Women.
Nominations Committee
Margaret Fritts was not available to report.
District Mission’s Projects
“Day Apart” program will be held on Sunday, June 14th from 2:00 to 4:00 pm at Camden First United Methodist Church. Jackie Beauchamp reported on a silent auction and on bras that have been collected and will be turned in to the District. She asked that sewing kits for UMCOR be delivered to her, and that she will give each circle a list of items needed for the kit. The kits are due in October. She also reported that food and household goods will be collected and provided to Needline or the Gentry House. Items will be collected by the circles and provided to Jackie for delivery. Karen Guthrie asked if we should bring this effort up to the Church to help collect supplies. Effie Kemp noted that we should find out more about what individuals and groups in the Church are currently doing and determine where there are gaps. This information should be provided to the Missions Committee.

Mission Coordinator Reports
Social Action
Effie Kemp reported. Support is available to help women with children but not for single women. A grant is being written to help provide support for single women. The Ruth Wilson Circle has been asked for items such as lotion to be given to Spring Creek for bingo prizes. The Wesley students collected 10,000 rolls of toilet paper to be provided in the community. She noted that there are 17 Methodist Churches in Calloway County and each one is involved in some type of mission project. She challenged each circle to discuss a mission project at their August meeting. She also discussed having a ceramic model of the church that could be used for a fund raiser for missions. More information will be provided at future meeting. She also reported on a hoarding situation in the community and asked for prayers for her and for the social worker involved.
Membership & Nurturing
Rhea Coleman reported that she has not received any requests for membership information.
Education
Pat Harris reported that May’s Response magazine had interesting articles dealing with mothers and June’s contained information on how we can help our planet and children and how we can fight human trafficking.
Communications
Nancy Doty asked that we provide pictures so that she can publicize our activities. She also reported on United Methodist Women News which is a free quarterly publication.
Historian
Amber Meadows was absent so there was no report.
Spiritual Growth
Linda Short had to leave early so there was no report.
Circle Reports
Ruth Wilson Circle - Jackie Beauchamp reported. The Circle plans to eat out in August at the Willow Bistro.
Tucker-Frost Circle - Carol Finn reported. When the circle served the Wesley Foundation there was a mix up and their circle and another group both provided a meal on the same date. In April Judy Little met with the circle and discussed the Quilt Trail and then in May the Circle participated in the Quilt Trail. The Circle had planned to eat at the Blue and White Cafe in Hazel but it was closed for remodeling. They ate instead at the Big Apple.
Wesleyan Circle - Karen Guthrie reported that in May the group had an Ice Cream Social with Wesley Housing and can provide Nancy with photos from the event. The Circle plans to eat out in June and July.
Meeting was closed with a reading from Psalm 139: 23-24.
